The school year is won before it starts. This guide puts in order what the principal, the bursar and the secretariat do.
Four to six weeks before
- Set the calendar: enrolment dates, re-enrolment dates, first day for students.
- Count your rooms and their capacity, level by level.
- Settle the list of promotions and repeaters from the year's results.
- Announce the documents required and the amount of the fees, in writing.
During enrolment
- One file per student, checked on the spot: identity, documents required, level requested.
- One number given at enrolment, never reused.
- One receipt for each fee payment, dated and numbered.
- A tally every evening: number enrolled per level, compared with capacity.
Balancing classes of the same level
| Class | Capacity | Enrolled | Repeaters | Places left |
|---|---|---|---|---|
| Form 1 A | 60 | 52 | 6 | 8 |
| Form 1 B | 60 | 48 | 7 | 12 |
Example: fictional classes.
Allocating students
- Set the rule: similar numbers, repeaters spread, options grouped.
- Allocate alphabetically or by merit, but never by hand on scrap paper.
- Publish the lists the day before the start, with the rooms.
- Keep a margin of places for late arrivals.
